Zen Planner review (2026): pricing, pros and cons

حكمنا

Zen Planner has been running gyms, boxes and martial arts schools since 2006, and the depth shows: attendance-driven belt and rank tracking, mature billing and a support team with a deservedly good reputation. The problem is the surface. The interface reads years older than rivals like Gymdesk, pricing is quote-based and tiered by active member count so the bill climbs as you grow, and modernization under Daxko has been steady but slow. For a martial arts school that needs rank progressions tied to attendance, it remains one of the safest choices; for most other gyms the shortlist has moved on.

الأفضل لـ

Martial arts schools and established gyms that value belt and rank tracking, mature billing and strong support over a modern interface.

غير مناسب لـ

Owners who want a modern UI, public pricing or a polished branded member app, and boutique studios competing on member experience.

المزايا والعيوب

المزايا

  • Belt and rank tracking tied to attendance is a standout for martial arts schools; few rivals do it as well.
  • Deep, mature member management and billing refined over nearly two decades.
  • Support has a genuinely strong reputation, with generous access included.
  • Suite bundles add websites, marketing and member app options for schools that want one vendor.
  • Handles gyms, boxes and martial arts programs under one roof, useful for hybrid facilities.

العيوب

  • The interface carries a dated reputation and modernization under Daxko has lagged newer rivals.
  • Quote-based pricing tiered by active member count means the bill climbs as your membership grows.
  • No public API and a limited integration story.
  • The member-facing experience trails modern competitors, and fuller branded app options sit in higher bundles.

What Zen Planner is

Zen Planner launched in 2006 and is now part of the Daxko family, the Colorado-based group that also serves YMCAs and health clubs. It is member management software for gyms, boxes and - most distinctively - martial arts schools: memberships, recurring billing, scheduling, attendance, staff accounts and reporting, with a member app alongside the staff-facing tools. Two decades of iteration have made it deep rather than flashy. Workflows exist for edge cases newer tools have not met yet, from family memberships to attendance-based promotions, and the Suite bundles extend it with websites, marketing tools and app options for owners who want everything from one vendor.

Where Zen Planner wins

The martial arts feature set is the clearest differentiator. Belt and rank progressions tied to attendance counts, testing events and promotion tracking are first-class features here, not afterthoughts, and schools that live by rank structure consistently rate this above anything else on the market. Boxes and traditional gyms get the same mature core: reliable recurring billing, solid scheduling and attendance, and reporting that has survived years of real-world use. The other quiet strength is support. Zen Planner has long marketed generous, human support access, and owner feedback largely backs that up. For a school owner who is not technical and does not want to be, a vendor that answers the phone is worth real money.

The dated-UI problem

Zen Planner's most consistent criticism is how it looks and feels. The staff interface reads a generation older than Gymdesk or PushPress, common tasks take more clicks than they should, and the member-facing experience trails the polish members now expect from consumer apps. None of this stops the software working; it does make daily use feel like effort, and it shows in front-desk training time. Daxko has been modernizing the product, but the pace has been slow relative to the category, and the plumbing shows its age in other ways too: there is no public API, and the integration story is limited compared with platforms built in the last decade. Buyers should assume the product they demo is roughly the product they will run for years.

Pricing reality

Zen Planner does not publish a simple price list. Pricing is quote-based and tiered by active member count, with Suite bundles layering websites, marketing and app options on top. In practice that means two things: you cannot budget from the website alone, and the monthly bill steps upward as your membership grows. That structure is common among legacy gym platforms, but it compares poorly with rivals that publish flat month-to-month prices. Before committing, get the quote for your realistic member count in two years, not just today's roster, and ask exactly which bundle the features you saw in the demo belong to.

Who should look elsewhere

Owners who want a modern interface and a price they can read off a website should look at Gymdesk, which serves gyms and martial arts schools with public month-to-month tiers and a far cleaner UI, at the cost of a lighter feature set. Gyms that want a branded member app without member-count pricing tiers tend to shortlist Trainera, which publishes per-country prices with unlimited members and no per-member fees, and runs in more than 20 languages. CrossFit and functional fitness boxes weighing Zen Planner against class-first specialists should also look at Wodify, whose whiteboard and performance tracking are far deeper. Zen Planner's honest remaining stronghold is the attendance-and-rank-driven martial arts school - there, it still earns its place.

الأسئلة الشائعة

Yes - it is the product's strongest use case. Attendance-driven belt and rank tracking, testing and promotions are first-class features, and schools that run on rank structure consistently rate Zen Planner above general-purpose gym software.
